How to Set Up and Manage Corporate Packages (EAP) on SafeTalk
Corporate Employee Assistance Programmes (EAPs) allow companies to provide their employees with access to counselling and mental health services through a pre-purchased package of sessions.
If your organisation works with corporate clients, you may already have companies purchasing counselling sessions in bulk for their employees. Some companies purchase a fixed number of sessions for the entire organisation, while others set individual limits for each employee.
SafeTalk makes it possible to manage these arrangements using Service Packages, booking links, and invoice settings.
In this guide, we’ll walk you through setting up a corporate EAP package, managing session limits, handling invoicing, and creating a dedicated booking experience for corporate employees.
Understanding how corporate EAP packages work
Before setting things up, let’s look at a typical example. Imagine Company A approaches your counselling centre to provide counselling services to its employees.
The company purchases 100 counselling sessions for its employees for 2026.
Depending on the agreement, the company may have different arrangements:
- Overall session limit: The company has purchased 100 sessions in total.
- Individual employee limit: Each employee is entitled to a maximum of 5 sessions.
- Flexible usage: Some companies may allow employees to use as many sessions as needed, provided the overall package has not been exhausted.
- Different allocation periods: Some companies purchase sessions monthly, while others purchase an annual allocation.
With SafeTalk, you can configure these arrangements using Service Packages
Step 1: Create a new Service Package
Start by creating a new Service Package specifically for your corporate client. You can follow our existing guide:How to Manage Your Therapy Services on SafeTalk
For example, you can name your package: EAP → Company A (2026)
Set up the package with the appropriate session quantity and pricing based on your agreement with the company. For example, if each employee is entitled to 5 counselling sessions, configure the package to contain 5 sessions.
Step 2: Configure the Advanced Service Package settings
This is where you control how the EAP package works. SafeTalk provides advanced Service Package settings that allow you to manage session allocations and booking restrictions.
For a detailed explanation of these settings, refer to:Advanced Service Package Settings
Let’s continue with our Company A example. Scenario: Company A purchases 100 sessions, with a maximum of 5 sessions per employee.
You would configure the package as follows:
| Setting | Configuration |
|---|---|
| Package name | EAP → Company A (2026) |
| Sessions per package | 5 |
| Limit by Sessions | 100 |
| Limit per client | Toggled |
This means:
- Each employee can only purchase or claim one package.
- Each package contains 5 counselling sessions.
- Once an employee claims the package, those 5 sessions are allocated to their account.
- The employee cannot claim another package or book beyond their allocated sessions.
What happens when the total allocation is exhausted? Once all 100 sessions have been allocated and the available packages are exhausted, employees can no longer claim additional sessions
You can monitor the allocation and usage by navigating to: Service Packages → View Details
Here, you can track the packages, their status, and the sessions used by employees.
Tip: If your corporate agreement has a monthly allocation, configure the total availability according to that monthly agreement. For annual agreements, use the agreed annual allocation.
Step 3: Configure invoicing for corporate clients
In most EAP arrangements, the employer pays for the counselling services rather than the individual employees. This means you probably don’t want employees to see the invoice, payment amount, or other billing details associated with their sessions.
SafeTalk has a setting designed for this scenario: Silent Invoice. When setting up your Service Package, enable the Silent Invoice option.
Here’s what happens:
- SafeTalk automatically generates an invoice when an employee books a session using the package.
- The invoice is visible to the therapist and organisation administrators.
- The employee will not see the invoice or its payment details.
- The invoice remains available for your internal billing records and reporting.
Important: Mark invoices as paid
Since the employer is responsible for payment, you will need to manually mark the generated invoices as paid. As a therapist or Admin, open the relevant invoice and update its payment status to Paid. Otherwise, the invoice will remain in Pending status.
Step 4: Create a dedicated booking link for EAP employees
Now that your Service Package is ready, the next step is making it easy for employees to access the right counselling services.
Rather than directing employees to your organisation’s general booking page, you can create a dedicated booking link that displays only your corporate EAP services.
Follow our guide:How to Create Multiple Booking Links
When creating your new booking link, configure the following:
1. Select the relevant services: Include only the services intended for your corporate EAP clients.
2. Select the available locations: Choose the locations where EAP counselling sessions are provided.
3. Choose the appointment types: Decide whether employees can book online sessions, in-person sessions, or both.
4. Display only relevant therapists: Enable the option to show only therapists who offer the selected EAP services.
This ensures employees only see therapists who are actually available to provide their corporate counselling services. One booking link or multiple booking links?
You have two ways to organise this.
- Option A: Separate booking links for each company. Create one dedicated booking link for Company A, another for Company B, and so on. This gives each company a more personalised booking experience.
- Option B: One booking link for all corporate clients. Create a single booking link that includes all your corporate EAP services. Employees can select the relevant service associated with their company.
Both approaches work. Choose whichever fits your organisation’s workflow.
Step 5 (Optional): Use Engagement Tags to identify EAP employees
If your organisation manages multiple corporate clients, keeping track of which employees belong to which programme can become challenging.
You can simplify this using SafeTalk’s Engagement Tags.
First, create a tag such as: EAP Employees
You can follow our guide here:How to Set Up and Use Engagement Tags in Your Practice
Once you’ve created the tag, assign it to your dedicated EAP booking link. From then on, every new client who registers through that booking link will automatically receive the EAP Employees tag.
This makes it easier to:
- Identify corporate EAP clients.
- Filter and view all EAP employees in one place.
- Separate corporate clients from your regular private clients.
- Manage your corporate programmes more efficiently.
If you have separate booking links for different companies, you can also create individual tags for each company, such as Company A Employees and Company B Employees.
Putting everything together
Once you’ve completed the setup, here’s how the entire EAP workflow looks in SafeTalk.
Corporate EAP workflow
- Company purchases a session package -> The employer agrees to purchase a fixed number of counselling sessions for its employees.
- Your organisation creates the Service Package -> Configure the total session allocation, individual session limits, and package restrictions.
- Employees receive the booking link -> Employees access a dedicated booking page containing only the relevant EAP services and therapists.
- Employees register and claim their package -> SafeTalk assigns the allocated sessions to their accounts, subject to the configured limits.
- Employees book their counselling sessions -> Employees can book appointments using their allocated sessions without handling payments.
- Invoices are generated silently -> Invoices are visible to therapists and administrators, who can mark them as paid once payment arrangements with the employer are fulfilled.
- Your organisation monitors usage -> Track package allocations, session usage, and invoice records directly within SafeTalk.
