How to Add Your Clients to SafeTalk

Adding your clients to SafeTalk is quick and flexible. You can add them one at a time or import them in bulk. Learn how.

    Adding your clients to SafeTalk keeps all their information, session history, and notes organized in one dashboard. It’s the first step to managing your practice more efficiently and ensuring you have everything you need at your fingertips.

    In this post, we’ll guide you through how to add clients on SafeTalk, and explain what happens after they’re added.

    Add Clients from the “My Clients” Page

    1. Log in to your SafeTalk account.
    2. From the sidebar, go to My Clients.
    3. Click Add/Import Clients.
    4. Choose how you’d like to add your clients, there are two options:
    • Add a Client (Single Record) – manually enter one client at a time.
    • Add Clients (Bulk Import) – upload multiple client records at once using our Excel template.

    Add Clients from the Home Page

    You can also add clients directly from your main dashboard:

    1. Click the “+” button in the bottom-right corner.
    2. Select Add/Import Client.
    3. You’ll see the same two options: add individually or in bulk.

    Adding a Single Client

    1. Select Add a Client (Single Record).
    2. Enter the client’s first name, last name, and optionally, their phone number and email address.
    3. Click Create New Client to save their record in SafeTalk.

    Adding Clients in Bulk

    1. Select Add Clients (Bulk Import).
    2. Download the Excel template provided.
    3. Fill in each client’s details according to the template format (each row = one client record).
    4. Upload the completed Excel file back into SafeTalk.
    5. Click Review to save their record in SafeTalk

    Tip: Make sure the file follows the template format exactly to avoid upload errors.

    What Happens Next

    Once added, your clients will receive an invitation message from the registered contact to join SafeTalk. As the therapist, you can:

    • Resend the invitation at any time.
    • Copy the invite link and send it directly to the client yourself.

    Managing Client Invitations

    If you’ve entered an incorrect information or your client isn’t ready to use SafeTalk yet, you can revoke their invite code.

    • Once revoked, any attempt to join via that link or code will show an error.
    • This is useful if you want to prepare a client’s profile in advance but invite them later.

    Accessing Client Records

    To view a client’s record:

    1. Go to My Clients in the sidebar.
    2. Select the client you wish to view.
