In this guide, we are going to look at the best practices to manage clients<\/em> within your organization. This is particularly useful when you need to move a client from one therapist to another within your team.

In SafeTalk one Client<\/strong> can be assigned to & managed by multiple Therapists<\/strong> at the same time. This is particularly helpful when:<\/p>\n\n\n\n

  • Clients require specialized care from different therapists with varying expertise.<\/li>\n\n\n\n
  • Clients benefit from a multi-disciplinary approach, accessing a range of therapeutic techniques and perspectives.<\/li>\n\n\n\n
  • Clients have flexibility in scheduling appointments with different therapists based on availability and preferences.<\/li>\n<\/ul>\n\n\n\n

    So… let’s dive in!<\/p>\n\n\n\n

    First. “Engagements”, what are they?<\/h2>\n\n\n\n

    “Engagement” is a virtual connection between a Therapist <\/strong>& a Client<\/strong> account, think of it something like a digital client file <\/em>that contains all the information(sessions, case notes, files, etc) related to that particular engagement between the therapist & the client. When a Client is assigned to a Therapist, a brand new “Engagement”<\/strong> between the two parties is created.
    Important to know<\/strong><\/span>:<\/p>\n\n\n\n

      \n
    • All of the Client Data<\/strong> (Sessions History, Payments History, Case Notes, Purchased Services, Files and Tasks, Journals, Email History<\/em> & Chat Messages<\/em>) belong to an engagement<\/em><\/li>\n\n\n\n
    • One client can have multiple Engagements<\/em>(with different therapists<\/em>), each with its own set of data<\/li>\n<\/ul>\n\n\n\n

      Reassigning Clients<\/h2>\n\n\n\n

      For a Client to be engaged with multiple Therapist<\/em>s at once, the account must be reassigned to a different Therapist first. To reassign, simply click on the ellipsis button(the three dots button on top right) of the Client<\/strong> card. From the dropdown list select the “Reassign<\/strong>” option.<\/p>\n\n\n

      You will see the popup below on your screen:<\/p>\n\n\n

      There are 3 items you can select on this popup:<\/p>\n\n\n\n

      • Select a Therapist<\/em> <\/strong>you want to reassign the Client to;<\/li>\n\n\n\n
      • Select whether the new therapist will be a Primary Therapist<\/em><\/strong> or a Secondary Therapist<\/em><\/strong><\/li>\n\n\n\n
      • Select which data <\/em><\/strong>you want the newly assigned therapist<\/em><\/strong> to have access to<\/em><\/strong> (you can leave this option empty to not want the new therapist to have access to any of the previous data)<\/li>\n<\/ul>\n\n\n\n

        <\/p>\n\n\n\n

        Option 1: Assign as a Primary Therapist<\/h3>\n\n\n\n

        If you select “Assign as a Primary Therapist<\/em>” option, the “Engagement<\/strong><\/em>” between the previous Therapist & the Client with all of it’s data(Sessions History, Payments History, Case Notes, Purchased Services, Files and Tasks, Journals, Email History & Chat Messages<\/em>) will be archived. A brand new “Engagement”<\/strong><\/em> will be created between the New Therapist<\/em> & the Client<\/em>.<\/p>\n\n\n\n

        Note: the archived Engagement can be found under My Clients -> Archived list of the original Therapist<\/em><\/p>\n\n\n\n
