It\u2019s the first step to managing your practice more efficiently and ensuring you have everything you need at your fingertips.<\/p>\n\n\n\n<p>In this guide, we\u2019ll walk you through\u00a0how to add clients on SafeTalk, and explain what happens after they\u2019re added.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"add-clients\">How to Add Clients<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Log in to your <strong>SafeTalk<\/strong> account.<\/li>\n\n\n\n<li>From the sidebar, go to <strong>My Clients<\/strong>.<\/li>\n\n\n\n<li>Click <strong>Add\/Import Clients<\/strong>.<\/li>\n\n\n\n<li>Choose how you\u2019d like to add your clients, there are two options:<\/li>\n<\/ol>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Add a Client (Single Record)<\/strong> \u2013 manually enter one client at a time.<\/li>\n\n\n\n<li><strong>Add Clients (Bulk Import)<\/strong> \u2013 upload multiple client records at once using our Excel template.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-video rounded-2xl-custom\"><video height=\"1080\" style=\"aspect-ratio: 1902 \/ 1080;\" width=\"1902\" autoplay controls loop muted src=\"https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-client.mp4\" playsinline><\/video><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"add-single-client\">Adding a Single Client<\/h2>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<ol class=\"wp-block-list\">\n<li>Select <strong>Add a Client (Single Record)<\/strong>.<\/li>\n\n\n\n<li>Enter the client\u2019s first name, last name, and <em>optionally<\/em>, their phone number and email address.<\/li>\n\n\n\n<li>Click <strong>Create New Client<\/strong> to save their record in SafeTalk.<\/li>\n<\/ol>\n\n\n\n<p><strong>For organization members:<\/strong><br>If you are part of an organization, you can select which therapist the client should be assigned to during the single client creation process.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large rounded-2xl-custom\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"576\" src=\"https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client-1024x576.jpg\" alt=\"\" class=\"wp-image-3150\" srcset=\"https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client-1024x576.jpg 1024w, https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client-300x169.jpg 300w, https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client-768x432.jpg 768w, https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client-1536x864.jpg 1536w, https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-single-client.jpg 1920w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<blockquote class=\"wp-block-quote no-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"no-quote\"><strong>Note:<\/strong> If a client prefers not to use SafeTalk, you can leave the email address and contact number blank. This allows you to keep a complete record of all your clients and sessions in one place, even if the client does not log in or receive invitations.<\/p>\n<\/blockquote>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><\/blockquote>\n<\/div><\/div>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"add-clients-in-bulk\">Adding Clients in Bulk<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select <strong>Add Clients (Bulk Import)<\/strong>.<\/li>\n\n\n\n<li>Download the Excel template provided.<\/li>\n\n\n\n<li>Fill in each client\u2019s details according to the template format (each row = one client record).<\/li>\n\n\n\n<li>Upload the completed Excel file back into SafeTalk.<\/li>\n\n\n\n<li>Click <strong>Review<\/strong><\/li>\n<\/ol>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"review-process\">File Validation &amp; Review Process<\/h4>\n\n\n\n<blockquote class=\"wp-block-quote no-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>Tip: Make sure the file follows the template format exactly to avoid upload errors.<\/p>\n<\/blockquote>\n\n\n\n<p>After uploading the file, SafeTalk will first validate it:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If there are issues with the file itself (such as an incorrect format, missing columns, or invalid structure), you will be notified immediately.<\/li>\n\n\n\n<li>If the file passes validation, SafeTalk will process the data and load a preview table.<\/li>\n<\/ul>\n\n\n\n<p>Once the table is loaded:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Each row represents one client with all the data you provided.<\/li>\n\n\n\n<li>The last column shows the <strong>status<\/strong> of each client record.<\/li>\n\n\n\n<li>This status column is read-only and cannot be edited.<\/li>\n\n\n\n<li>Possible statuses include:\n<ul class=\"wp-block-list\">\n<li><strong>Ready to Import<\/strong> (shown in green)<\/li>\n\n\n\n<li>Errors such as incorrect details, invalid data format, or the client already existing in SafeTalk<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-video rounded-2xl-custom\"><video height=\"1080\" style=\"aspect-ratio: 1902 \/ 1080;\" width=\"1902\" autoplay controls loop muted src=\"https:\/\/safetalk.space\/blog\/wp-content\/uploads\/2025\/08\/add-clients-bulk.mp4\" playsinline><\/video><\/figure>\n<\/div><\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"whats-next\">What Happens Next<\/h2>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<p>Once a client is added, they will receive an invitation message from your registered SafeTalk contact <strong>if an email address or contact number was provided and Silent Onboarding is not enabled<\/strong>.<\/p>\n\n\n\n<p>As the therapist, you can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Resend the invitation at any time.<\/li>\n\n\n\n<li>Copy the invite link and send it directly to the client.<\/li>\n<\/ul>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<h2 class=\"wp-block-heading\" id=\"manage-invitation\">Client Invitations &amp; Records<\/h2>\n<\/div><\/div>\n\n\n\n<p>If a client\u2019s information is incorrect or they aren\u2019t ready to use SafeTalk, you can revoke their invite code. Once revoked, any attempt to join via that link or code will show an error.
