With our recent update, you can now group clients together, while allowing each person to retain their own SafeTalk access, which makes it ideal for family/couple therapy setting.

This guide explains how to set up family and couple therapy in SafeTalk and how shared appointments, services, files, payments, and communication work.

1. Group clients as Co-Participants

To set up a family or couple clients, you can add another client as a co-participant to an existing client.

Here’s how:

Go to My Clients

Open the client File for the person you want to group

Scroll down & click on add a co-participant

Choose whether to create a new client account or select an existing client (existing client means they already have a safetalk account)

Select the Relationship & Save

Each person will retain their own separate SafeTalk account and login credentials, but they will share the relevant engagement with the therapist. This makes it easier to manage couples and families in one place

2. How Client Groups Work in My Clients

Once you add a co-participant, the clients will appear as a group in My Clients(ex Alex Chow & Jamie Chow) & everywhere else across the platform

This gives you a shared view of their appointments and engagement-related activities while keeping certain information, such as personal journals, case notes & files private to each client.

3. Shared Appointments and Service Packages

Appointments and service packages are shared between clients within the same group. This means either participant can:

Book a group session for everyone in the group

Reschedule/Cancel an appointment on behalf of a group

Manage the shared package associated with the group

Example: Alex purchases a four-session couples therapy package. Both Alex and Jamie can access the package under their shared accounts and book sessions using it

This makes managing appointments easier because the therapist doesn’t need to coordinate every booking manually between the two clients

4. Share Files and Tasks with All Clients or Separately

Under Files & Tasks, you can decide whether a file or task should be shared with everyone in the group or assigned to specific client only

You have two options:

Assign to all clients: Every participant receives a single form or file and can complete it together

Assign to selected clients: Choose specific participants who should receive the file or task

Note: If you want to share the same file with two participants individually, you’ll need to repeat the process twice. Select the file, assign it to the first participant, and confirm and share. Then repeat the process for the second participant.

Example: For couples counselling, you might want both partners to complete the same intake form before their first session. You can assign it to everyone in the engagement.

However, if you want each partner to complete an individual assessment or questionnaire, you can assign the relevant file separately to each person, by repeating the process

5. Client Journals Remain Private

Although clients share an engagement, they cannot see each other’s journals.

Each participant retains their own journal, allowing them to record personal reflections without exposing those entries to other participants in the engagement.

For example, in a couples therapy engagement, Alex can write private journal entries without Jamie being able to view them through their shared group.

This helps maintain the distinction between shared group activities and individual client information.

6. Shared Payments and Package Purchases

Either participant can purchase a new service package or make a payment for the shared engagement. This is particularly useful when one person handles the payment arrangements for couples or family therapy.

Example: Jamie books a couples counselling session, but Alex handles the payment. Alex can purchase the package or make the payment without requiring the therapist to manage two separate engagements.

This makes billing more flexible for clients who share the cost of therapy or have one person responsible for payments.

7. Notifications for Both Participants

Both participants will receive relevant notifications about the shared engagement, including appointments, files, and payments. This helps ensure that everyone stays informed about upcoming sessions, required forms, and payment-related activities.

For example, when a new appointment is booked, both partners receive the relevant appointment notification. When a form is assigned to both participants, each person is notified so they can complete it.

This reduces the need for one participant to relay information manually to the other.

8. When Should You Use Family and Couple Accounts?

Family and couple accounts are useful whenever multiple clients participate in therapy together and need to share an engagement.

Common examples include:

Couples counselling: Manage both partners under one engagement, with shared appointments, packages, and group communication.

Family therapy: Group family members under the same engagement while allowing each person to retain their own account.

Parent and child therapy: Coordinate appointments and shared administrative tasks while allowing each participant to access SafeTalk through their own account.

Group-based family interventions: Keep engagement-related activities organised when multiple family members are involved.

By grouping clients under one engagement, you can simplify appointment coordination, package management, billing, and administrative tasks without requiring everyone to use the same account.

[66,208,207,34
132,204,128
post-4462","help-centre","type-help-centre","status-publish","hentry","tag-client-management","tag-couple-therapy","tag-family-therapy","tag-for-therapists","help_centre_category-client-management","help_centre_category-family-couples-therapy","help_centre_category-resources-for-therapists
["GET
